AI usage policy

How NeuroCapture uses AI, and the limits you should know about.

What the AI assistant is

NeuroCapture uses an AI assistant to turn your voice recordings into text, and to suggest tasks, deadlines, priorities and small first steps. It is an organising aid — it helps you get thoughts out of your head and into a plan you can act on.

What it is not

  • It is not a medical, psychological or diagnostic service.
  • It does not provide therapy, treatment or clinical assessment.
  • It is not an emergency or crisis service. If you or someone else is at risk of harm, contact your local emergency services.
  • It is not a substitute for a qualified professional (doctor, psychologist, therapist, school SENCO, social worker or similar).

How your information is processed

When you record a thought, the audio is stored privately in your account and sent to a secure AI gateway for transcription. The resulting text is then sent to a large language model to suggest tasks, deadlines and next steps. Only your recording and its transcript are sent — never your email address or account details.

Recordings are deleted automatically after your chosen retention window (24 hours by default). Your transcripts and tasks stay until you delete them. Your content is not used to train AI models.

Your responsibility

AI output can be incomplete, out of date or simply wrong. Suggested priorities and deadlines are suggestions only — always use your own judgement, and the judgement of professionals who know you, before acting on them. You can edit or override any suggestion.

Your choices

AI processing is required for the app to work, so it is agreed at sign-up. You can withdraw it at any time by deleting your account, and you can turn off audio retention, analytics and marketing separately in Your data and consents. How your information is handled more broadly is set out in the privacy policy.

Learning how you work

NeuroCapture looks at your own history — when you finish things, how long tasks were estimated to take, how often something gets moved, and how you respond to reminders — so that steps are the right size and nudges arrive at a useful time. It only ever uses your own data, it is never used to draw conclusions about you as a person, and it is never a diagnosis or an assessment.

Small settings such as your daily focus limit or reminder style may be adjusted for you. Every adjustment is listed under What we've noticed, where you can undo it, clear everything learned, or turn learning off entirely.

Age requirement

You must be at least 16 years old to create an account. If you are under 18, please make sure a parent or guardian is happy for you to use NeuroCapture. If we learn that an account belongs to someone under 16, we will close it and delete the data.
