1. Who we are

NeuroCapture is provided by Potential Minds, based in the United Kingdom. For data protection purposes, we are the controller of the personal information described here. You can reach us at info@potentialminds.co.uk.

2. What we collect

  • Account details — your first name, email address and the consents you gave and when. If you sign up using your email address, we also store an encrypted password. If you choose to sign in with Apple or Google, they provide us with your email address and, where you allow it, your name. We never receive your Apple or Google password. If you use Apple's Hide My Email feature, we receive Apple's private relay email address instead of your personal email address.
  • Voice recordings — only the audio you record by tapping the capture button.
  • Transcripts and tasks — the text produced from your recordings, along with the tasks, steps, deadlines, priorities and notes created from them.
  • Reminders and device tokens — the times you ask to be reminded and, if you enable lock-screen notifications, a push notification token for that device. The token is stored with your account so reminders can reach the correct device.
  • Subscription details — whether you have an active subscription or free trial, which plan you are on, and when it started, renews or ends. Payments are handled by Apple. We do not receive or store your card, bank account or other payment details.
  • Product usage, optional — if you turn on Help improve the app, we collect limited records of how certain features are used, such as opening a guide or completing a daily review. These product usage events are linked to your account. They do not include recordings, transcripts, task titles or your name. This setting is off unless you switch it on, and you can switch it off again at any time.
  • Basic app activity — limited technical and audit records needed to run the service, keep it secure and fix faults.

We do not ask you to provide special category data. Please avoid capturing other people's personal, confidential or sensitive information unless you have an appropriate reason to do so.

3. Why we use it, and our lawful basis

  • To provide the app — creating and managing your account, storing your captures and showing your plan back to you. Lawful basis: performance of our contract with you.
  • To transcribe recordings and generate suggestions using AI. Lawful basis: your consent, given at sign-up and withdrawable at any time.
  • To send the reminders and nudges you set up. Lawful basis: performance of our contract and, for lock-screen notifications, your consent.
  • To manage your subscription and free trial — including checking which plan you are entitled to use and when your subscription or trial renews or ends. Lawful basis: performance of our contract with you.
  • To understand which features are used so we can improve NeuroCapture, but only if you turn on Help improve the app. Lawful basis: your consent, which you can withdraw at any time by switching this setting off.
  • To keep the service secure, prevent abuse and meet legal obligations. Lawful basis: our legitimate interests and, where applicable, legal obligation.

4. AI processing

Recordings and transcripts are sent to our AI providers so they can be turned into text and organised into tasks and useful suggestions. Content is processed only to provide the NeuroCapture service back to you.

We do not sell your content and we do not allow it to be used to train third-party AI models. Full details are available in the AI usage policy.

If you withdraw AI consent, transcription and AI-generated suggestions will stop. Existing content will remain until you delete it or close your account.

5. How long we keep things

  • Audio recordings are deleted automatically about 24 hours after processing, unless you choose otherwise in your settings.
  • Transcripts, tasks and reminders are kept until you delete them or close your account.
  • Account and consent records are removed when you delete your account, although a minimal record may be retained where required by law.
  • Subscription records may be retained for as long as necessary to manage your subscription and meet applicable legal, accounting or audit requirements.
  • Product usage records, where you have enabled them, are retained only for as long as reasonably necessary to understand and improve how NeuroCapture is used.

6. Where your data is stored and how it is protected

Your data is held in managed cloud infrastructure with encryption in transit and at rest. Recordings are held in private storage, and database access is restricted so that users can access only the information associated with their account.

Some service providers, including our AI providers, may process data outside the United Kingdom. Where this happens, we rely on appropriate safeguards required by UK data protection law, such as approved contractual protections.

7. Sharing

We do not sell your data or share it for advertising.

We share information only with service providers that are necessary to operate NeuroCapture, including:

  • Hosting, database and storage providers used to operate the app and securely store your account and content.
  • AI transcription and suggestion providers used to transcribe recordings and organise captured information.
  • Email delivery providers used for account-related communications.
  • Push notification services used to deliver reminders and notifications to your device.
  • Sign-in providers — Apple and Google, if you choose to sign in using their services.
  • Subscription management services — including RevenueCat, which receives an account identifier and subscription information from Apple so NeuroCapture can determine which subscription or free trial you are entitled to use.

If you enable Help improve the app, product usage records stay within our own systems and are not sent to an external analytics company.

We may also disclose information where we are legally required to do so.

8. Your rights

Under UK data protection law, you can ask for a copy of your data, correct inaccurate information, ask us to delete it, restrict or object to how we use it, and withdraw any consent you have given.

You can do most of this yourself, including exporting your information or permanently deleting your account from Your data and consents.

Otherwise, email us at info@potentialminds.co.uk and we will normally respond within one month.

If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk, although we would appreciate the opportunity to put things right first.

9. Children

You must be at least 16 years old to create a NeuroCapture account. If you believe someone under 16 has created an account, please contact us and we will take appropriate steps to remove it.

10. Cookies and local storage

We do not use advertising or tracking cookies.

The app stores a small amount of information on your device to keep you signed in and remember your preferences. It also uses the device functionality needed to deliver reminders and notifications when you enable them.

If you turn on Help improve the app, product usage events are linked to your NeuroCapture account as described above. They are not advertising or tracking data and are not sent to an external analytics company.

11. Changes to this notice

If we make a significant change to how NeuroCapture uses your information, we will tell you in the app and, where appropriate, ask for your consent again.
